1. Who we are
ROA Talent Ltd ("ROA Talent", "we", "us") is a specialist recruitment agency supporting data centre construction projects across Europe and the US. We are a company registered in England and Wales (company number 16719530) with our registered office at 1 Kilmarsh Road, London, England, W6 0PL.
For the purposes of the UK General Data Protection Regulation (UK GDPR) and the EU General Data Protection Regulation 2016/679 (EU GDPR), ROA Talent Ltd is the data controller of the personal data described in this policy.
2. Data protection contact
Our data protection lead is Alexandra Pop. For any questions about this policy or how we handle your personal data, or to exercise your rights, contact:
Email: Alexandra.pop@roatalent.com
Post: Data Protection, ROA Talent Ltd, 1 Kilmarsh Road, London, England, W6 0PL
3. The personal data we collect
We collect and process the following categories of personal data:
- Candidates: name, contact details (email, phone), LinkedIn profile URL, CV and the information it contains (work history, education, qualifications, skills, location), cover notes, right-to-work information where required, and notes from our conversations with you.
- Client and supplier contacts: name, job title, business contact details, and records of our correspondence.
- Website visitors: information you submit through our contact and job application forms, and usage data collected via Google Analytics (see section 11). We do not use advertising cookies.
4. How we collect your data
- Directly from you, when you apply for a role, submit a form on our website, email us, or speak with us.
- From publicly available professional sources, such as LinkedIn and job boards, where you have made your profile available for recruitment purposes.
- From referrals, where someone recommends you for a role.
5. How and why we use your data
We use your personal data to:
- Assess your suitability for roles and match you with relevant vacancies.
- Introduce you to prospective employers (our clients), with your knowledge, for specific opportunities.
- Communicate with you about roles, applications, and our services.
- Maintain business relationships with clients and suppliers.
- Comply with our legal and regulatory obligations.
Our lawful bases for processing under Article 6 of the GDPR are:
- Legitimate interests — providing recruitment services, which involves assessing candidates and introducing them to clients. We balance this against your rights and interests.
- Consent — where we rely on consent (for example, to retain your details for future opportunities), you can withdraw it at any time.
- Legal obligation — where we must process data to comply with law, such as right-to-work checks.
- Contract — where processing is necessary for a contract with you or to take steps at your request before entering one.
6. Who we share your data with
- Our clients: we share candidate details with prospective employers only for the purpose of specific placement opportunities, and we will tell you which client before or at the time of introduction.
- Service providers (processors): we use trusted third-party providers to run our business, including our applicant tracking system (Atlas, hosted in Dublin, Ireland), website hosting (Amazon Web Services), Microsoft 365 for business email and productivity tools, and Google Analytics for website usage statistics. These providers process data on our instructions under data processing agreements. We also use LinkedIn to source and contact candidates; LinkedIn processes your data as an independent controller under its own privacy policy.
- Legal and regulatory bodies: where required by law.
We do not sell your personal data.
7. International transfers
We primarily store and process personal data in the United Kingdom and the European Economic Area (our applicant tracking system is hosted in Dublin, Ireland). Where a role or client is located outside the UK or EEA, or a service provider processes data outside those areas, we ensure appropriate safeguards are in place, such as adequacy regulations or standard contractual clauses.
8. How long we keep your data
We retain candidate personal data for up to 2 years from our last meaningful contact with you, after which it is securely deleted, unless you ask us to remove it sooner or a longer period is required by law. Client and supplier contact records are retained for the duration of the business relationship and for a reasonable period afterwards to meet legal and accounting obligations.
9. Your rights
Under the UK GDPR and EU GDPR, you have the right to:
- Access the personal data we hold about you.
- Have inaccurate data corrected.
- Have your data erased ("right to be forgotten").
- Restrict or object to our processing of your data.
- Receive your data in a portable format.
- Withdraw consent at any time, where processing is based on consent.
To exercise any of these rights, contact Alexandra.pop@roatalent.com. We will respond within one month. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or, if you are in the EU, with your local supervisory authority.
10. Security
We take appropriate technical and organisational measures to protect your personal data, including access controls, encrypted connections (HTTPS), and limiting access to those who need it to carry out their role. All staff are bound by confidentiality obligations.
11. Cookies and analytics
This website uses cookies that are strictly necessary for its operation, and Google Analytics to understand how visitors use the site so we can improve it. Google Analytics sets cookies that collect information such as pages visited, time on site, and approximate location and device type. This data is processed by Google on our behalf; for more information see Google's privacy policy.
You can control or delete cookies through your browser settings, and you can opt out of Google Analytics using Google's opt-out browser add-on.
